Privacy policy

1. Introduction and scope

This Privacy Policy describes how Aeronite ("we", "Aeronite") collects, processes and protects the personal data of users of the aeronite.com website ("Site").

At this stage, the Site serves an informational purpose and allows users to contact us via the contact form. This document covers only data collected via the Site — it does not apply to data processed within future Aeronite products and services (AMO/MRO, CAMO, PDT, KML), which will be covered by separate documents.

3. What data we collect and why

3.1. Contact form

Through the Site's contact form, we collect the following data:

  • First name
  • Last name
  • Email address
  • Phone number (optional)
  • Organisation or company name
  • Enquiry subject and message

This data is collected solely for the purpose of:

  • replying to your enquiry and further correspondence about it,
  • arranging and running a demo of the Aeronite platform, if you request one,
  • establishing commercial contact with interested organisations.

Legal basis: Art. 6(1)(a) GDPR (consent of the data subject) — given by consciously completing and submitting the form with the relevant checkbox ticked.

3.2. Analytics data (Google Analytics 4)

With the user's consent, the Site uses Google Analytics 4 (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland) to measure traffic: which pages are visited, where users come from, which devices they use and how long a visit lasts.

Google Analytics stores cookies in the browser (_ga and _ga_ followed by the property identifier) that allow the browser to be recognised on subsequent visits. It processes the cookie identifier, device and browser information, approximate location and the pages visited. The IP address is used only to determine approximate location and is not stored in Google Analytics.

  • The Google Analytics script loads only after clicking "Accept" in the cookie banner. Without consent, no data is sent to Google.
  • Consent can be changed or withdrawn at any time via the "Cookie settings" link in the Site footer. When consent is withdrawn, the Google Analytics cookies are deleted.
  • We do not use Google advertising features and do not combine analytics data with form data.
  • Google Analytics cookies expire after 2 years. Data in Google Analytics is retained for no longer than 14 months.

Legal basis: Art. 6(1)(a) GDPR (consent of the data subject) and Art. 5(3) of Directive 2002/58/EC (ePrivacy Directive) as regards storing cookies.

Google may also process data outside the European Economic Area, including in the USA. Google LLC participates in the EU-U.S. Data Privacy Framework, and data is also transferred on the basis of standard contractual clauses approved by the European Commission. 4. Data processors

In operating the Site, we use the following processors acting on our behalf:

Vercel Inc. — Site hosting and infrastructure

Vercel processes technical data necessary to deliver the Site (server logs, IP addresses within standard HTTP logs). Data transferred outside the EEA under Standard Contractual Clauses (SCCs) approved by the European Commission.

Resend Inc. — email delivery and subscriber list storage

Contact form data is passed to Resend to send messages: a notification to our team and a confirmation with a copy of the message to the sender. If you tick the newsletter consent, your first name, last name, email address and language are stored in Resend as a contact on the newsletter list. Data transferred outside the EEA under Standard Contractual Clauses (SCCs).

Google Ireland Limited: Site analytics (Google Analytics 4)

Google processes the analytics data described in section 3.2 only where the user has given consent. Data may be transferred to Google LLC in the USA on the terms described in section 3.2.

5. Retention period

Data collected through the contact form is retained for:

  • the period necessary to handle the enquiry and related correspondence, or
  • until the user withdraws consent (see section 7 — user rights), or
  • no longer than 3 years from the date of collection — unless a commercial relationship is established, in which case the retention period will be set by a separate agreement.

6. Data security

We apply appropriate technical and organisational measures to protect personal data against unauthorised access, loss or destruction, in particular:

  • encryption of data transmissions using HTTPS/TLS,
  • database access restricted to authorised individuals,
  • regular access rights reviews.

7. Your rights

Every person whose personal data we process has the following rights under GDPR:

  • Right of access — to your data and information about how it is processed (Art. 15 GDPR),
  • Right to rectification — to request correction of inaccurate or completion of incomplete data (Art. 16 GDPR),
  • Right to erasure — to request deletion of data ("right to be forgotten") (Art. 17 GDPR),
  • Right to restriction of processing — in cases set out in Art. 18 GDPR,
  • Right to data portability — in a structured, commonly used format (Art. 20 GDPR),
  • Right to withdraw consent — at any time, without affecting the lawfulness of processing prior to withdrawal (Art. 7(3) GDPR),
  • Right to lodge a complaint — with the supervisory authority: President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw, Poland, uodo.gov.pl.

8. Cookies

With the user's consent, the Site uses Google Analytics analytical cookies (_ga and _ga_ followed by the property identifier), described in section 3.2. The Site does not use marketing cookies.

The consent choice is stored in the browser (localStorage) so that we do not ask on every visit. Consent can be changed or withdrawn at any time via the "Cookie settings" link in the Site footer.

The Site may use technical cookies necessary for correct operation (e.g. remembering the selected colour theme). Such cookies do not require user consent under Art. 5(3) of the ePrivacy Directive.

9. Marketing communications

If you tick the separate newsletter consent in the contact form, the email address you provide may be used to send information about:

  • the development of the Aeronite platform,
  • the launch of new modules,
  • significant product updates.

Messages are sent only upon the user's explicit consent (checkbox in the form). Consent may be withdrawn at any time via the 'Unsubscribe' link in any message or by contacting us at: contact@aeronite.com.

10. Changes to this Privacy Policy

We reserve the right to amend this Privacy Policy. Newsletter subscribers will be notified of significant changes by email. The current version of the document is always available at aeronite.com/polityka-prywatnosci.
